Operations Coordinator
The Real Estate Operations Coordinator is the operational backbone of the brokerage and the Principal Broker's production team. This role manages listings and transactions from intake to closing, keeps company administration running without friction, and delivers a client experience that is organized, proactive, and precise. An active Oregon real estate license is strongly preferred; unlicensed candidates must be willing to obtain licensure within an agreed timeframe.
This is not simply a transaction coordinator role. This position is central to the company's success and will work directly with ownership to improve systems, elevate the client experience, and help scale the brokerage. We are looking for someone who wants to build a career, not simply fill a position.
Core Responsibilities
- Listing Preparation — Prepare listing packets and agreements for broker review; research and organize property documents; coordinate pre-market vendors including contractors, stagers, photographers, and signage.
- Listing Management — Draft MLS listings for broker review; maintain listing data, photos, pricing, and status; set up showing schedules; coordinate open houses and key box installation.
- Transaction Coordination — Manage transaction timelines and task lists from mutual acceptance through closing; coordinate inspections, repairs, signing, and possession; submit complete documentation to transaction management software; keep brokers ahead of every deadline.
- Client Care & CRM — Maintain the client database and follow-up plans; manage client gifting, cards, testimonials, and past-client touchpoints; support client appreciation events.
- Office & Company Administration — Manage the office phone line and route inquiries; maintain office supplies and branded materials; support broker onboarding logistics and company meetings; assist with commission processing and expense tracking as directed.
- Licensed Support (as applicable) — Assist with buyer and seller activity as licensure allows — showings, property access, vendor meetings, and offer drafting under broker supervision.
Qualifications
- Active Oregon real estate license strongly preferred, or a firm commitment to obtain one.
- Familiarity with real estate transaction management — timelines, contingencies, documentation, and closing coordination.
- Highly organized and task-oriented; able to run multiple transactions in parallel without dropped details.
- Responsive and reliable — clients and brokers get answers the same day.
- Excellent written and verbal communication.
- Tech savvy — comfortable learning and working across CRM, transaction management, MLS, and project management platforms daily.
- Team player with a hardworking, forward-thinking approach; brings solutions, not just questions.
Schedule & Location
Primarily in-office at the Salem headquarters with some remote flexibility. Availability for occasional client and property needs outside standard hours as transactions require.
Compensation
$40–$50 per hour depending on experience and licensure, plus per-transaction coordination compensation. Potential for benefits, 401(k) matching, and profit sharing.

Marketing Strategist
The Marketing & Brand Strategist owns the visual identity, marketing production, and growth marketing engine for Legacy Real Estate and its listings. This is a hands-on creative role with a strategic mandate: produce polished, on-brand marketing at a high tempo while identifying and building the next generation of growth initiatives — including AI-driven marketing systems, expansion campaigns, and broker recruitment marketing. The right candidate is a designer, a marketer, and a forward thinker in equal measure.
Core Responsibilities
- Listing Marketing — Design, produce, and maintain marketing for active listings — flyers, brochures, property websites, social announcements, postcards, and signage coordination.
- Social Media & Digital Advertising — Plan and execute the company content calendar; draft, design, and schedule weekly posts; manage paid social and digital advertising campaigns; report engagement and performance monthly.
- Brand & Design — Maintain and evolve Legacy's brand standards across all assets; design company collateral, presentations, guides, recruiting materials, and client-facing packets.
- Website Management — Manage website content updates and property pages in coordination with the company's preferred website vendor; monitor site performance, SEO, and lead capture.
- Company Growth Marketing — Develop and execute marketing initiatives that grow the brokerage — broker recruitment campaigns, geographic farming, newsletters, community presence, and event marketing.
- AI Strategy & Innovation — Identify, test, and implement AI tools and automation that increase marketing output and quality; act as the company's forward-looking voice on marketing technology and expansion opportunities.
Qualifications
- High proficiency in Canva and Adobe Creative Suite (or equivalent professional design software) — a portfolio is required with application.
- Demonstrated experience producing marketing across print, digital, social, and web.
- Working fluency with AI tools (content generation, image tools, automation) and genuine curiosity about applying them.
- Strong writing ability — clean, professional copy without heavy editing.
- Self-directed and deadline-driven; able to manage multiple listings and campaigns simultaneously.
- Video editing and content capture experience is a strong plus.
- Real estate marketing experience is a plus, not a requirement.
Schedule & Location
Primarily remote with required attendance at company meetings and periodic onsite presence at the Salem office for photo/video capture, events, and collaboration.
Compensation
$40–$75 per hour depending on experience and portfolio strength, with potential for benefits, 401(k) matching, and profit sharing. Engagement structure (employee or independent contractor) determined on a per-candidate basis.
